We can help review your travel program and provide consulting services in vendor selection and implementation, consolidation and reviewing & deployment of global policy. We worked with all major Travel Management Companies (TMC). Usually, it is important to consider a need of one global TMC or regional dominants, policy mandate requirement, technology expectations of the workforce, data collection process via partner markets, and online booking vs high touch preference.
We help clients guiding through the selection process for EMS and provide implementation services. We assist based on critical questions, including the organization’s structure, a requirement of single vs multiple instances, standardization vs autonomy, flexibility over expense categories, testing requirements before going live, VAT/GST configuration and anything else within the scope.
The T&E data is disparate and requires deep understanding to analyze it well. It is perhaps the most challenging task within a travel program to get the required data when and how it is needed. We support our clients by providing the full suite of travel data management services, including consolidation from TMC, EMS, card service provider or any other, defining KPIs, designing reports and visualizations, real-time visibility of insights.
We help build various dashboards and interactive reporting where you can apply various filters to visualize your information by different periods, airlines, hotel chains, business units, or any other slicers. We consult and assess needs before building anything and make sure we deliver what is needed exactly.
A lot of organizations lose out on indirect taxes (VAT/GST) recovery on business travel expenses, especially on foreign travel. This is due to complex reclaim processes and many a times, businesses are not aware that reclaim is possible. A report suggests that there is $20B worth of unclaimed VAT by businesses each year. To simplify this complex processes, we have some suppliers out there who have expertise just to do that on behalf of businesses in return for a reasonable percentage of refund value i.e. No win, No pay basis.
However, it is pretty essential to understand if a supplier assesses all receipts regardless of value? How automated their processes are? What are their operational processes of communication with client? What countries do they cover including non-EU countries. Many Asian countries allow foreign GST/VAT recovery too. Furthermore, do they have collaboration with hotel and restaurant chains to retrieve or fix invoices?
We help clients selecting right vendor to ensure that it doesn’t become burden to manage the process later and doesn’t feel more efforts than return.
Commercial cards are usually perceived as mature products as network service providers like Visa eventually dominate its acceptance, MasterCard or Amex mainly, followed by standard online services. Please do not be mistaken by that notion. The service level and market penetration vary considerably for each Bank.
As a result, it is critical to determine many points. How important is the rebate opportunity? Is there a need to have one Global Bank, or regional experts? What type of cards are needed i.e. corporate T&E cards, lodge cards, virtual cards, purchasing cards? Is there a preference of an online self-service tool or anytime call service? Can a Bank provide the capability to restrict specific merchant category codes (MCC) at a group level? What are the card application processes per market, and can they be completely online? Can a bank genuinely offer a global card program? Is it a proprietary solution or via partner banks? How is reporting consolidated in a latter case? Does Bank offer liability waiver insurance in case of employee fraud?
Avoid the pitfalls of selecting a Global card provider but missing out on many other needs. We can help sift through your needs and present a detailed assessment from which to choose a service provider.
